DMBC BOARD MEETING

November 16, 2009

 

 

President, Jim Geary, called the meeting to order at 5:10 p.m.

 

Members in attendance were Jim, Judy, Scott, Chet, Lynn and new board members Mary Amato, Al Irwin, Bob Danielson.  Betty Bayard was also present for the report on the upcoming January Sectional.

 

Current board members are:

To get acquainted with each other, each board member introduced themselves and told something about their backgrounds.

 

Sectional report:

 

Lynn reported that plans for the sectional are under control.  The issue of giving free plays was discussed with the board.  It was agreed that free plays for club games would be offered to volunteers whose duty required that they give up playing in a session.  The guest speakers on Thursday, Friday, and Saturday would be offered free plays for a tournament session.

 

Board members were asked to volunteer their time when possible, especially to help in the kitchen.  Jim, Scott, Al and Bob gladly volunteered their services to the kitchen coordinator.

 

It was agreed that the Sunday Swiss entry fee would be raised from $22 to $24 per person.  This increase is primarily to help with food costs for that day.

 

There seems to be confusion as to whether it is the responsibility of the club to pay for the hotel room of our out-of-town director.   Various committee members are looking into this to see what precedence has been and what is done by other clubs.

 

Financial report: 

 

Judy, our new treasurer, gave the financial report.  She proposed the food budget for 2010 be increased to be more in line with our actual expenditures for 2009.  The office supply budget is also increased because of additional costs associated with our shuffler (paper and ink cartridges).

 

The board also will be increasing director fees as discussed in our previous minutes and this has been budgeted for.

 

 

 

Election of Officers:

 

The motion was made and passed to approve the below slate of officers for the coming year.

It was noted that there is currently no alternate board member.

Miscellaneous:

 

  1. A motion was made, seconded and passed approving the following Christmas bonuses:

            Directors         5 – 24 games              $50

                                    25 – 49 games            $75

                                    50 – 74 games            $100

                                    75+ games                  $125

 

            Cleaning lady                                      $100

 

  1. Our holiday party is scheduled for Wednesday, December 16.  The committee is looking for a CD player for that day. Mary Amato has volunteered her keyboard for the occasion.

 

  1. The need for additional volunteers to assist in preparing hands with the shuffler was discussed.  Judy, Al, and Chet have volunteered to learn and to help with this task.

 

  1. The issue was discussed about membership fees for people joining well into the next year.  It was decided that rather than start a complicated prorate schedule, we would suggest allowing any membership fee paid starting September 1 be applied to the following year.  Please note that membership is due on November 1 of each year for the following year.

 

  1. The salary and additional responsibilities of Kristen Fowler, our cleaning lady, were discussed.

 

  1. Bob Danielson took the opportunity to compliment Jim Geary on the especially thoughtful and touching Newsletter in November.  All board members expressed the same gratitude to Jim.

 

The meeting was adjourned at 6:00 p.m.

 

The next board meeting will be Monday, December 21.
